The Tax Settings page in Blinksale allows you to create and manage tax rates that can be applied to your invoices and estimates. Setting up appropriate tax rates ensures that your billing documents accurately reflect tax obligations and helps maintain compliance with tax regulations.

Understanding Tax Rates

Tax rates in Blinksale are percentage values that can be added to line items or entire invoices. Common examples include:
  • Value Added Tax (VAT)
  • Sales Tax
  • Goods and Services Tax (GST)
  • Provincial/State Taxes
  • Municipal Taxes
Each tax has two primary components:
  • Name: A descriptive identifier (e.g., “VAT 20%”, “CA Sales Tax”)
  • Rate: The percentage value applied (e.g., 20%, 7.5%)

Managing Tax Rates

Viewing Your Tax Rates

The Tax Settings page displays a table of all your configured tax rates, including:
  • Tax name
  • Rate (as a percentage)
  • Creation date
  • Usage count (how many saved items use this tax)
  • Action buttons for editing or deleting

Creating a New Tax Rate

To create a new tax rate:
  1. Navigate to Settings → Tax Settings
  2. Click the Add Tax button
  3. Enter a descriptive name for the tax (e.g., “VAT”, “Sales Tax”)
  4. Enter the percentage rate (e.g., “20” for 20%)
  5. Click Create Tax

Editing an Existing Tax Rate

To modify an existing tax rate:
  1. Locate the tax rate in the list
  2. Click the pencil (edit) icon
  3. Update the name and/or percentage as needed
  4. Click Save Changes
Dialog for editing an existing tax rate Note: When you edit a tax rate, the changes will apply to any future invoices or estimates that use this tax. However, existing documents will maintain the tax rates that were applied at the time of creation.

Deleting a Tax Rate

To delete a tax rate:
  1. Locate the tax rate in the list
  2. Click the trash (delete) icon
  3. Confirm the deletion in the dialog
Important Limitations:
  • You cannot delete tax rates that are currently in use (have a usage count greater than zero)
  • The delete button will be disabled for any tax with an active usage count
  • You must remove the tax from all saved items before you can delete it

Tax Rates in Documents

Applying Taxes to Invoices and Estimates

Once you’ve created tax rates, you can apply them in several ways:
  1. Individual Line Items: Apply specific tax rates to individual line items
  2. Document Level: Apply tax to the subtotal of the entire document
  3. Multiple Taxes: Apply multiple tax rates to the same item or document

Default Tax Settings

You can configure default tax settings in the Preferences section:
  1. Navigate to Settings → Preferences
  2. In the Default Values section, select your default tax rate
  3. Choose your default tax distribution method (per item or document)
This ensures new invoices and estimates are pre-populated with your standard tax configuration.

  • Keep it simple: Only create the tax rates you regularly use
  • Use clear naming: Name taxes in a way that makes their purpose obvious

  3. Tax rate changes not reflecting in existing documents
    • Tax rate changes only affect new documents
    • Existing documents maintain the tax rates applied when created
